1. Who we are

FitnessGiving.com is owned and operated by Wizewerx Ltd, a company registered in England and Wales with company number 06003824, whose registered office is 124 City Road, London, England, EC1V 2NX. Wizewerx Ltd is the data controller responsible for the personal data described in this policy.

If you have any question about how we handle your data, contact us at support@fitnessgiving.com.

2. What this platform does

An employer funds a campaign. Employees join it and connect a fitness tracking account. Activity they record earns money from the employer's campaign budget into a giving wallet, which the employee then donates to a UK registered charity of their choosing. We need personal data to make each of those steps work, and this policy explains which.

3. Personal data we collect

  1. Account details: your name, email address and the organisation you belong to. Used to sign you in and to connect you to the right campaign.
  2. Fitness activity: where you connect a tracking account, we read the activities it records — type, distance, duration and the time they took place. We do not read location traces, heart rate or any health metric beyond what is needed to calculate an earned amount.
  3. Giving and wallet records: amounts earned, the charities you chose, and when donations were made.
  4. Technical data: information about the device and browser you use, and error diagnostics when something goes wrong.

4. Connected fitness accounts

Connecting a tracking account such as Strava is entirely optional, and nothing is read from it until you authorise the connection yourself. When you do, you grant us permission to read your recorded activities so they can be converted into earnings.

You can disconnect at any time, from your settings on this platform or from the provider's own account settings. Disconnecting stops any further activity being read. Activity already converted into earnings stays on your record, because it forms part of the campaign's financial history.

5. Legal bases for processing

  1. Contract: processing needed to run a campaign you have joined and to move money you have earned to the charity you chose.
  2. Consent: connecting a fitness account, and any non-essential cookies. Withdrawable at any time.
  3. Legitimate interests: keeping the platform secure, diagnosing faults, and preventing misuse — balanced against your rights.
  4. Legal obligation: financial and tax record-keeping.

6. Who we share your data with

We do not sell personal data, and we do not share it for advertising. We share it only as set out here:

  1. Your employer, if they sponsor your campaign: they can see who has joined their campaign and the activity totals that earned from their budget. They cannot see your individual activity records, and they cannot see anything you do outside their campaign.
  2. Stripe: our payment processor, for subscription and campaign funding payments. Card details go directly to Stripe and are never held by us.
  3. The charity you choose: when you make a donation, the information needed to process and attribute it.
  4. Law enforcement: where we are required to disclose by law.

The platform's own infrastructure — authentication, storage, the giving ledger — is operated by Wizewerx Ltd, not by a third party.

7. Data retention

We retain your personal data while you are an active user. If you stop using the platform, we retain it for three months and then delete it, except where a longer period is required by law — financial records relating to donations being the main example. We do not keep data for longer than is legally required.

8. Your rights

Under UK GDPR you have the right to access your data, to have inaccurate data corrected, to have your data erased, to restrict or object to processing, to data portability, and to withdraw consent at any time where consent is the basis we rely on.

To exercise any of these, email support@fitnessgiving.com. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.

9. International transfers

We are based in the United Kingdom. Where personal data is transferred outside the UK, we rely on appropriate safeguards such as adequacy decisions or standard contractual clauses.

10. Security

We use appropriate technical and organisational measures to protect personal data, including encryption in transit, access controls, and monitoring. No system is perfectly secure, and we will tell you and the relevant authority without undue delay if a breach affects your rights.

11. Cookies

We use cookies that are strictly necessary for the platform to work — keeping you signed in, and remembering your cookie choices. These do not require consent.

Analytics cookies, which help us understand how the platform is used, are only set if you accept them. You can change your choice at any time through the cookie banner, and you can clear or block cookies in your browser settings. Blocking strictly necessary cookies will stop parts of the platform working.

12. Changes to this policy

We may update this policy. Where a change materially affects your rights, we will tell you rather than relying on you noticing the date above.
